Believe it or not, the holiday season is quickly approaching. And though it’s likely many of our celebrations will look a bit different this year, executing an office move during the holidays will still bring with it the challenges of years past.
The challenges almost always boil down to availability. Some of your employees will be out of office. Office moving companies, similarly, could be closed during certain stretches of season. 1. Plan Your Office Move Around the Busiest Holiday Travel Days
If you’ve ever lived in a city, you understand how hectic holiday travel traffic can get. It’s one of the few times of the year when everyone, regardless of whether they work from home or in an office, travels at once. The potential for traffic can lead to office moving companies charging your business a premium for their services, and actual traffic can cause delays in the moving process.
Right off the bat, you should probably second guess moving the week of Thanksgiving. The Wednesday before Thanksgiving just so happens to be the busiest travel day of the year. Many businesses let their employees leave around noon, making the afternoon one of the absolute worst times to travel at any point during the year.
Unfortunately, the Friday following Thanksgiving, or Black Friday, as it’s more commonly known, isn’t much better. In most years, shoppers rush to the store to take advantage of once a year deals. This year, of course, will be a bit less busy in light of the Covid-19 pandemic. But it’s still best to err on the side of caution.
Finally, you’ll also want to avoid the week of Christmas. Shoppers will be out trying to pick up last minute gifts. Again, it’s likely in-store shopping will be down quite a lot this year, but it’s still hard to predict traffic until the day comes.
2. Book the Move Well in Advance
We’ve already mentioned how the employees of not only your company, but those from the office moving company, as well, will be out of commission for stretches of the holiday season.
Your best bet to avoid scheduling headaches is by booking your move at least a month, if not two months, in advance. By being proactive, you can find a date that works well for both your staff and the staff of the office moving company.
When scheduling with the office moving company, be as transparent as possible about what dates aren’t compatible with your office’s schedule. This will make it much easier for the moving company to plan staffing assignments accordingly and create contingency plans in the event any changes need to be made in the weeks leading up to the office moving during the holidays.
3. Be Thoughtful in How You Announce the Move to Your Staff
In our previous post about moving offices during the fall season, we mentioned the importance of providing your employees with clarity around the holiday season. Planning get-togethers can be stressful enough without the added burden of having to change workplaces.
It’s for this reason you’ll want to thoughtfully plan out how you’ll communicate the move. You’ll of course want to make sure your staff knows about the move several months prior so they have the chance to make any adjustments to their morning and afternoon travel schedules. But making the new office space a welcoming environment should also be top of mind.
Consider holding off on your holiday party until after you arrive at the new office. Then, your staff can celebrate not only the holiday season, but also the completion of a big and significant project for your company. If your company typically gives out holiday cards to employees, announce the time and date of the party on the cards so your employees will be aware of the arrangements before the moving process starts.
